1 At Bat Media is a performance-focused eCommerce growth agency. We help DTC brands acquire and retain more customers through Paid Media and Email + SMS. We care about disciplined testing, senior-led execution, clear ownership, and proactive communication.

 

The role

 

We are hiring a Client Success Coordinator to keep client delivery running smoothly. Your job is to ensure that:

  • Every client call turns into clear action items
  • Tasks are created, assigned, and tracked correctly in ClickUp
  • Owners and deadlines are always clear
  • Nothing falls through the cracks
  • Clients feel proactive, organized, and well supported

 

This role is not “strategy.” You are the operator who makes execution predictable. You will partner closely with the Growth Strategist, Paid Media, Email, and Creative teams.

 

Responsibilities

 

1) Run the “call → tasks → execution” system

  • Attend weekly client calls (with the Growth Strategist)
  • Capture decisions, action items, and next steps live during the call
  • Ask clarifying questions when tasks are vague (what does done look like, who approves, when is it needed)
  • Create ClickUp tasks within a few hours of the call with:

    • clear owner
    • due date
    • definition of done
    • dependencies and required assets

 

2) Client communication + follow-ups

  • Send concise post-call recaps that confirm priorities, actions, and timelines
  • Coordinate approvals and asset requests from the client (creative, promos, product priorities, deadlines)
  • Follow up mid-week so tasks don’t drift
  • Escalate risks early (blocked tasks, late approvals, resourcing issues)

 

3) Delivery coordination inside the pod

  • Coordinate across Paid Media, Email, and Design so work moves smoothly
  • Make sure briefs are complete before work begins (goal, audience, offer, creative requirements, due date)
  • Keep work organized: correct naming, correct files, correct links, correct deliverables

 

4) QA process support (prevent rework)

  • Use checklists to ensure deliverables are correct before they reach the strategist/client
  • Catch common issues early (wrong links, missing UTMs, wrong dimensions, incorrect segments)
  • Help enforce “definition of done” standards so work ships cleanly

 

5) Status visibility + reporting support

  • Maintain accurate ClickUp status for all key initiatives
  • Provide weekly internal updates: what shipped, what’s next, what’s blocked, what needs leadership input
  • Support monthly reporting coordination (gathering inputs, ensuring deadlines are met) 

 

Requirements (must-haves)

 

  • 2+ years experience in project management / client coordination (agency or marketing environment preferred)
  • Strong operational discipline: you can manage many moving pieces without missing details
  • Excellent written communication (clear, concise recaps and task descriptions)
  • Comfort in client calls: you can capture, clarify, and keep things organized
  • Strong ClickUp (or similar tool) experience: tasks, dependencies, priorities, templates
  • High accountability: you take ownership, follow up, and escalate early

 

Nice-to-haves

 

  • Experience with DTC eCommerce and/or performance marketing agencies
  • Understanding of Paid Media and Email workflows (enough to write good tasks and spot issues)
  • Familiarity with QA checklists and process documentation

 

What success looks like (Scorecard)

 

First 30 days

  • Successfully runs the call → tasks process for 2–3 clients
  • Post-call recaps are sent consistently and tasks are created same day
  • Clear reduction in “misses/mixups” and internal confusion

 

 

By 60 days

  • Independently manages delivery coordination for a larger client pod
  • Improves task quality and reduces rework through better briefs and checklists
  • Proactively flags risks early and keeps timelines on track

 

By 90 days

  • Becomes the reliable execution operator for assigned accounts
  • Clients feel the agency is organized and proactive
  • Strategists spend less time on admin and cleanup, more time on strategy and performance  

 

Working setup

  • Remote role
  • Joins weekly client calls (North American time zones)
  • Works closely with Growth Strategists, Paid Media, Email, and Creative
